Privacy notice

The Innovation and Entrepreneurship Centre uses this system to take and approve room bookings. This page says what we hold, why, and for how long.

What we hold

  • Your name, university email, school or office, post and contact phone, taken from your staff record.
  • The bookings you make: room, date and time, purpose, event name, course code, speaker, equipment and any other requests you type.
  • The names or staff IDs of colleagues you add to a booking.
  • A record of every decision made on a booking, and every email the system sent about it.

Why we hold it

  • To take the booking, to let the Centre decide it, to tell you what was decided, and to keep a record of who approved what. Nothing is used for marketing, and nothing is sold or shared outside the university.

How long we keep it

  • Booking records are kept for the period agreed with the university at handover. Sign-in records are kept for 90 days. After that they are deleted.

Who can see it

  • You can see your own bookings. Centre officers with an approval role can see the bookings for their department. Administrators can see account records. Nobody outside those groups can read a booking.

Your rights

  • Under the Personal Data (Privacy) Ordinance you may ask to see the personal data held about you and to have it corrected. Contact the Centre, or the university's Data Protection Officer.
